Housekeeping Standards Step by Step: Room Cleaning Procedure and Lost & Found Handling

Housekeeping standards are not just a list of tasks. They are a repeatable procedure that determines guest reviews, team productivity, and whether items left behind actually make it back to their owners. Below is a step-by-step procedure you can roll out in a hotel, apartment, conference venue, or theme park.

Step 1. Shift and cart preparation

    • Collect the room list (check-outs, stayovers, VIPs, out-of-order rooms).
    • Stock the cart: linen, towels, amenities, chemicals, bags, gloves.
    • Check keys and communication with the front desk.
    • Set priorities: early check-in rooms first.

    Step 2. Entering the room

    • Knock and announce "Housekeeping" three times, a few seconds apart.
    • Cart at the door, door open during service — safety and transparency.
    • Quick assessment: damages, missing equipment, guest belongings.

    Step 3. Room cleaning sequence

    1. Remove — trash, soiled linen, room service trays.
    2. Make the bed — change linen according to property policy.
    3. Dust top to bottom — lamps, art, shelves, desk, skirting.
    4. Bathroom — cleanest to dirtiest: mirror, sink, tub/shower, toilet last.
    5. Replenish — towels, amenities, stationery, water.
    6. Floors — vacuum and mop last, working back toward the door.

Step 4. Lost & Found check

This is the step most often skipped, and the one that generates the most complaints. Before leaving the room, check the fixed control points:

    • nightstand drawer and safe,
    • sockets and desk (chargers, cables, laptops),
    • wardrobe, top shelf, hangers,
    • bathroom: hook behind the door, shelf under the mirror,
    • bedding and under the bed,
    • balcony and window sill.

A found item should never stay on the cart or in someone's personal locker. The standard is: description + photo + room number + date + responsible person, then hand-over to one designated storage location.

Step 5. Registering the item and contacting the guest

Legally, a property must secure and store the item and attempt to identify the owner. In practice this means three things:

    1. one register instead of notes scattered across channels,
    2. documented contact with the guest (date, channel, content),
    3. documented hand-over or shipment.

With Refindi this step is automated: staff register the item and the system handles guest communication, verification, and shipping — with no manual coordination at the front desk.

Step 6. Quality control and closing the room

    • Doorway check: first impression — smell, light, order.
    • Five-point test: bed, mirror, toilet, floor beside the bed, remote and switches.
    • Report defects to maintenance before the room returns to inventory.
    • Update the room status and inform the front desk.

    Most common mistakes

    • No single storage location for found items.
    • Front desk arranging shipping and costs ad hoc.
    • No photo documentation — disputes over item condition and identity.
    • Undefined or too short storage period.
    • No onboarding for new team members.

    Summary

Good housekeeping standards are short, repeatable, and measurable. A fixed cleaning sequence structures the work, and fixed Lost & Found control points close the weakest link in the process. If you want left-behind items to stop burdening your front desk, base that step on a system instead of individual arrangements.
